These filters appear inside the Status Filter menu on the Reports Dashboard. They let you quickly narrow the list of reports based on their current stage in the workflow so you can immediately see which files need attention and keep every transaction on track.
Our filing team handles the full process after you enter the initial transaction details. Once all required information is collected and the transaction is marked Closed, the team finalizes the report and submits it directly to FinCEN. You’ll be notified if FinCEN issues any corrections or acknowledgments.

Pending
This section lists reports that are still in the information-gathering phase. Required details from the buyer, seller, or any entity/trust owners have not yet been fully submitted. The system is still waiting for parties to complete their secure forms, provide ownership information, or finish any missing sections.
These reports cannot move forward until all required data is collected, so they remain in this stage until every party has submitted their information. This helps you easily see which files need follow-up to keep the report on track.
Complete
This section means that all required information has been fully provided and reviewed. Every party involved has finished their assigned sections, and the report contains everything needed from a compliance standpoint at this stage. No further action is required right now.
Ready to Close
This section displays reports where all required information has been fully collected from every party buyer, sellers, and any entity or trust contacts. Nothing is outstanding, and the information-collection phase is complete. The report is now simply waiting for the property transaction to be marked as closed. See this article on how to close a case. The report cannot be filed by the managing team until it is marked as closed.
Closed
This section displays reports where the closing has already been marked as complete, meaning the transaction itself is finished, but the FinCEN filing has not yet been submitted.
After all buyer, seller, and ownership information has been collected, the deal has officially closed, the report is ready for filing, but the final submission step is still outstanding. This section helps ensure no closed transactions are overlooked and that each report is submitted promptly after closing.
Once marked as closed, the managing team will file shortly thereafter.
Filed
This section lists reports that have already been successfully submitted to FinCEN by the managing team after the transaction was marked as closed.
At this stage:
- The closing is complete
- The report has been fully prepared and filed
- No additional action is required from the buyers or seller
- The file has moved out of the preparation workflow and into a completed, filed state
This status confirms the report has left the pending stages and is officially filed with FinCEN.
Exempt Reports
This section lists reports that have been reviewed and confirmed as not necessary to report under FinCEN’s Real Estate Reporting Rule. After examining the transaction details such as buyer type, payment method, financing, or other qualifying factors it was determined that the deal does not meet FinCEN’s criteria, so no FinCEN Real Estate Report is required.
Once a file is placed in this category, no further action is required, and the system removes it from your list of active FinCEN-reportable transactions. This helps keep your workflow clean and ensures you focus only on transactions that truly require filing.
